Early Access NetID for J-1 Exchange Visitors
Academic department administrators must obtain a USC NetID and a 10-digit USC ID number for their J-1 exchange visitor so that the exchange visitor can log in to Trojan International and submit the DS-2019 application.
Note for CHLA Department Administrators
Before submitting a request, the CHLA department administrator must obtain a USC NetID via the iVIP process on their own behalf to access the Trojan International portal. Contact the CHLA iVIP administrator directly for further assistance. Since this step is handled by a department other than OIS, the timeline depends on their workflow.
J-1 Scholars Paid by USC
If a J-1 scholar is paid by USC, the HR partner responsible for submitting the J-1 scholar’s Workday profile should follow the steps below to ensure the scholar can access Trojan International. This process can be initiated no more than six months prior to the J-1 appointment start date.
- Begin the hiring process in Workday.
- HR partners must complete the “Edit IDs” step in the hiring process to generate the USC NetID and 10-digit USC ID. Completion of the hire does not need to occur until the hiring department is ready to proceed (see next step).
- Once the J-1 scholar begins their USC appointment, HR partners can complete the hiring process and add additional services.
J-1 Scholars Not Paid by USC
If a J-1 scholar is not paid by USC, the department administrator should complete the process for getting a USC NetID through iVIP. This process can be initiated no more than six months prior to the J-1 appointment start date.

The department administrator should contact their respective iVIP administrator to request “Departmental Services” access for the J-1 scholar. Once the J-1 scholar has arrived at USC, iVIP administrators can add additional services to meet the department’s needs, per the sponsor’s directions.

To ensure J-1 scholars can access the Trojan International portal, the iVIP administrator responsible for entering J-1 visiting scholars into iVIP for guest services should add the J-1 scholar in iVIP to generate the USC NetID and 10-digit USC ID number.
Tips:
- For the start date, enter the current date, which should be no more than four months prior to the J-1 appointment start date.
- For the end date, enter the day prior to the DS-2019 start date. For example, if the DS-2019 start date is June 1, 2024, enter May 31, 2024 as the end date.
- In the “services” section, only select the “departmental services” box (see image below). Enter the four-month advance start date for these services. Ensure that all other services are not selected or activated until the affiliate’s actual start date.

Note that the iVIP system is used to manage USC guest accounts and services for university guests and affiliates. Once the J-1 scholar’s appointment concludes or transitions to either being paid by USC or becoming a student, “Departmental Services” permissions must be removed, as they are no longer considered university guests.
